BOOKING TERMS AND CONDITIONS

THESE TERMS AND CONDITIONS APPLY TO ANY BOOKING PROVIDED BY ACTIVE SUMMER CAMPS. PLEASE READ THE TERMS CAREFULLY BEFORE MAKING A BOOKING BECAUSE YOU WILL BE BOUND BY THEM ONCE A CONTRACT COMES INTO EFFECT BETWEEN YOU AND US. BY FILLING OUT THE BOOKING FORM AND CLICKING "CONTINUE" YOU ARE DEEMED TO AGREE TO THESE TERMS.

YOU SHOULD PRINT A COPY OF THESE TERMS FOR FUTURE REFERENCE.

References in these Terms to “we” or “us” are references to Active Summer Camps

The Website is operated by WIX, which is a third party hosting site.

1. General​​

1.1 Any damage to the equipment must be reported to Active Summer Camps as soon as possible, and may result in an additional fee.

1.2 The Hirer will be responsible for any loss of equipment during the Hire Period and will be charged accordingly.

1.3 Active Summer Camps are covered by Public Liability Insurance, and a copy of this is available on request.

1.4 Please re-bag the ball pit balls in time for the agreed collection/pack away time, in the bag that has been provided.

2. Bookings

2.1 To make a booking, the hirer is required to email info@activesummercamps.co.uk. A member of the team will then be in contact to confirm availability and to discuss the details of the booking. 

2.2 Following the initial correspondence, all hires will be confirmed by Active Summer Camps upon receipt of     a Hire Acceptance form.

2.3 The hirer must enclose full details of the event type and intended use of the soft play. The booking is granted only on the details given at the time of the booking. Any changes to the booking must be requested by email and agreed by Active Summer Camps prior to your Hire

2.4 In the event of any variation to the details provided at the time of booking, Active Summer Camps        reserves the right to cancel the booking.

2.5 The booking will be provisional until the full payment and the signed contract has been received, in which it becomes a confirmed booking.

2.6 The Soft Play is for INDOOR USE ONLY.

2.7 The hire is for up to 6 hours, inclusive of set up and pack away. Additional hire time incurs an additional cost.

3. Payments

3.1 Payment in full is required at the time of the booking. 

3.2 Payment is required via an online payment link through the iZettle system or BACS. The iZettle payment link can be sent to an email address or mobile number. If the hirer is wishing to pay via BACS, the details will be sent to the hirer following selecting this option on the Soft Play Hire acceptance form.

3.3 All prices are subject to change at any time (excluding confirmed bookings).

4. Cancellations 

4.1 In the event of a cancellation or termination of the booking by Active Summer Camps, no liability shall fall upon Active Summer Camps for the loss or expenses incurred by the Hirer, however the payment for the soft play hire is refundable in full or is able to be transferred to another date, subject to availability.

4.2 Cancellations from the hirer will only be accepted in writing and upon confirmed receipt from Active Summer Camps.

 4.3 If the Hirer cancels the booking, depending on the date in which the cancellation notice is received, a proportion of the hiring charge will be retained as per the below timescales:

- Within 14 days of the event date - Total payment non-refundable

- Within 28 days of the event date - 50% of the payment refundable

- More than 28 days before the event date - Total payment refundable

5. On Site hire

5.1 Please allow for the following times: ON SITE HIRE (Ridgeway Sports and Social Club) – please allow up to 45 minutes before the event for Active Summer Camps to set up the equipment, and also up to 45 minutes after the event for them to take down, check and remove equipment.

5.2 It is the responsibility of the Hirer to make sure that the equipment is collated together and ready for collection at the agreed time (This includes the ball pit balls being packed into the bag).

5.3 All Soft play hires are for INDOOR USE ONLY.

5.4 Active Summer Camps will provide a 'Contents form' and will have checked off all equipment included. The Hirer must check that all is included and any problems report to Active Summer Camps straight away for recording. 

5.5 The Hirer must inform the Active Summer Camps Staff member collecting the equipment of any damage, loss or soiling that hasn’t been able to be cleaned.

 

6. Off Site hires - Delivery, Setup and Collection

6.1 It is the Hirer’s responsibility to check the site measurements for the required package (Minimum space required 3m x 3m), and also to ensure that there will be adequate space surrounding the play equipment. If sufficient space is not available at the venue site for the package ordered you will still be charged.

6.2 Please allow for the following times: OFF SITE HIRE – Active Summer Camps will deliver your chosen equipment to the venue 45-60 minutes before the event, to allow time to setup the equipment, and also 45-60 minutes after the event for Active Summer Camps staff to dismantle and collect the equipment.

6.3 It is the responsibility of the Hirer to make sure that the equipment is collated together and ready for collection at the agreed time (This includes the ball pit balls being packed into the bag).

6.4 For Off Site Hires, it is the responsibility of the Hirer to ensure access to the venue for unloading and loading of equipment. Any restrictions must be reported to Active Summer Camps prior to the event on the External booking form. This includes but is not limited to, lack of parking, stairs, narrow doorways/corridors etc. Failure to do so may result in the equipment not being able to be delivered. Active Summer Camps only deliver to ground floor venues.

6.5 Delivery is £2 per mile S12 3XR. Please contact us for details.

6.6 We will endeavour to deliver on time, but Active Summer Camps will not be held responsible for delay incurred due to circumstances beyond our control (e.g. traffic problems, bad weather).

6.7 Active Summer Camps will provide a 'Contents form' and will have checked off all equipment included. The Hirer must check that all is included on delivery and any problems report to Active Summer Camps straight away for recording. 

6.8 All Soft Play Hires are for INDOOR USE ONLY. 

6.9 Active Summer Camps will not accept any responsibility for accidents, injury or damage during the period of hire and recommend the Hirer take out their own insurance to cover the day.

6.10 The Hirer must inform the Active Summer Camps Staff member collecting the equipment of any damage, loss or soiling that hasn’t been able to be cleaned.

6.11 At the time of collection, a member of the Active Summer Camps team will refer to the Contents form and ensure that no equipment is missing, damaged or soiled.

7. Damage to Equipment

​7.1 If damage, loss or soiling has occurred during the Hire, the hirer is required to inform Active Summer Camps as soon as possible. Active Summer Camps staff will assess any damage and discuss and agree appropriate action with the Hirer. An itemised invoice to cover loss/damage or professional cleaning may be sent after the hire if necessary. Quotes will be sourced for replacement or repair and any extra costs will be charged to the Hirer.

 

8. Health & Safety

It is the responsibility of the hirer, to ensure that all possible steps are taken to avoid injury or damage whilst the Soft Play is used during their booking. Please ensure that the following Safety Instructions are followed:

1. The Soft Play has an age limit of 5 years old. Please ensure no one over this age uses the Soft Play

2. Please ensure that our equipment is kept in a clean condition - if we have to have the equipment professionally cleaned before the next hire, then we may have to charge you extra. All Packages will include a pack of anti-bacterial wipes for you to use during your hire if requested. All equipment will be cleaned before delivery and after the Hire by Active Summer Camps Staff.

3. No food, drinks or chewing gum to be allowed on or near any of the equipment, this will avoid choking and mess (please note if the equipment is collected in a dirty condition the hirer will incur a cleaning charge).

4. All shoes, glasses, jewellery, badges MUST be removed before using the Soft Play equipment. No face paints, party poppers, coloured streamers or silly string to be used either on or near the Soft Play and equipment. (These can create staining on the vinyl).

5. No smoking near the Soft Play and equipment.

6. A responsible Adult (over 18 years old) must supervise at all times. Active Summer Camps accepts no liability for any accidents or injuries that may occur whilst the equipment is on hire and recommend the Hirer takes out their own insurance for the day.

7. Always ensure that you limit numbers according to the age and size of children using it.

8. Children must not push, collide, fight or behave in a manner likely to injure or cause distress to others.

9. No pets or sharp instruments to be allowed on or near the Soft Play and equipment.

10. Please ensure that an area of 3 feet (1 metre) around the Equipment is completely clear if necessary.​

 

DISCLAIMER

Please note that all persons using our equipment do so at their own risk. The person/organisation hiring the equipment will be responsible/liable for any damage or injury occurring from or as a result of misuse or reckless use. These guidelines are for the safety of all people using this equipment, and it is the sole responsibility of the Hirer to ensure they are adhered to. Our company cannot accept any responsibility for any injury caused to anyone using this equipment.

Complaints

We are committed to ensuring your child has a great experience but if you or your child is not entirely happy with its experience please contact the Manager in the first instance. If your complaint has not been resolved to your satisfaction please contact us using the contact details provided on our website with full details of the complaint and we will attempt to resolve it as quickly as possible. If the complaint is more serious, this can be taken further with the request of additional contact information.

The Website is operated by WIX.

The Website and its owners take a proactive approach to user privacy and ensure the necessary steps are taken to protect the privacy of its users throughout their visiting experience. This website complies with all UK national laws and requirements for user privacy.

General

We can transfer any of our rights or obligations arising under this Agreement to another person at any time, but this will not affect your rights. You may not transfer your rights or obligations arising under this Agreement without our prior written consent.

These Terms and the Disclaimer set out the whole of the Agreement between you and us in relation to the subject matter of this Agreement and supersede any prior agreement, understanding or arrangement between us about such subject matter whether oral or in writing.
